Booking

How to book an expedition and what happens after you enquire

The process is simple and works in a few steps. After choosing an expedition or contacting us, we discuss the trip details and tailor the itinerary to your expectations. We then send you a quote and confirm availability. Once you accept the terms and pay a deposit (usually 30%), the trip is reserved. You receive travel documents and a detailed plan at least 14 days before departure.
Yes, subject to availability we also organise trips at short notice. For last-minute bookings (within 21 days of departure) please contact us directly by phone or email — we work fast and can organise a trip within days. Please note that hotel and flight availability may be more limited in these cases.
Absolutely. We organise both individual and group travel — including corporate trips, honeymoons, milestone birthdays and other celebrations. For groups of 8 or more we prepare a special quote with a dedicated coordinator. Get in touch to discuss details.
We recommend booking at least 6–8 weeks in advance, especially during peak season (May–September) and for more exotic destinations. For winter trips and trekking expeditions it's worth planning 3–4 months ahead. Early booking guarantees better availability and often a better price.
We try to be flexible. Modifications are possible up to 30 days before departure, though they may involve an admin fee or price difference due to availability changes. After that deadline changes may be difficult or impossible — exact conditions are set out in the contract. In any case, please contact us and we'll find the best solution.

Payments

Deposits, payment schedules and accepted payment methods

The standard deposit is 30% of the total price and should be paid within 5 business days of booking confirmation. The remaining balance (70%) is due no later than 30 days before departure. For last-minute bookings full payment may be required immediately.
We accept:
  • Bank transfer (PLN, EUR, USD)
  • Credit and debit card (Visa, Mastercard)
  • Online payment via Przelewy24 / PayU
Bank details and a payment link will be sent after booking confirmation.
Prices shown on offer pages are indicative and may vary depending on the departure date, number of participants and current availability. A final quote is prepared individually based on your preferences. We always confirm the final price before booking — we never apply hidden fees.
Yes, for bookings made more than 3 months in advance we can offer an instalment payment schedule. Contact us to set up a custom payment plan that fits your budget. Our standard option is 3 instalments: deposit, mid-payment, and final balance.

Insurance

Travel protection and cancellation conditions

The standard price includes basic medical expenses (KL) and personal accident (NNW) insurance. We strongly recommend upgrading to the extended package, which also covers: trip cancellation for valid reasons, flight delays, lost luggage, and extreme sports (for active expeditions). The premium upgrade adds roughly 2–3% to the trip cost — well worth considering.
Standard cancellation terms:
  • More than 60 days before departure: full refund minus a 150 PLN admin fee
  • 30–60 days: 30% of the total price retained
  • 14–30 days: 50% of the price retained
  • Under 14 days: no refund
If you have cancellation insurance, you can claim directly from the insurer for documented unforeseen circumstances.
The EHIC is free and worth getting for travel within the EU — it covers public healthcare. However, it does not replace comprehensive travel insurance, which covers medical transport, repatriation, personal accident insurance and trip cancellation. For destinations outside Europe the EHIC does not apply — private insurance is then essential.
For active trips (trekking, mountaineering, diving, rafting) we recommend extending your insurance to include a high-risk sports clause. This covers: mountain rescue operations, helicopter evacuation, treatment of sports injuries and medical transport. We advise on specific requirements for each expedition — just ask when booking.

Itinerary & Routes

Questions about what's included and how we can personalise your trip

That's one of our core principles. Every route we offer is a starting point, not a rigid template. We can extend your stay in a particular place, add niche attractions, change the accommodation standard, integrate a specific event (festival, wildlife phenomenon) or adjust the pace to your preferences. Tell us what you're looking for — we'll design a journey made just for you.
The standard price for most expeditions includes:
  • Economy class flights (with checked luggage)
  • Accommodation in selected hotels and guesthouses
  • Airport transfers and local transport
  • Local guide or coordinator support
  • Selected meals as described in the offer
  • Entrance fees and activities listed in the programme
  • Basic medical / personal accident insurance
The exact scope is always listed in the "What's included" section on each offer page.
Both options are available. Our group expeditions have a maximum of 16 people (up to 22 for friend groups) — which keeps things intimate and flexible in a way that mass tours simply can't. We also run fully private expeditions (for 1–4 people or families), where the entire programme is designed exclusively for you. We always make the format clear when you enquire.
Each offer has a stated difficulty level: Easy, Moderate or Demanding. The Demanding level (e.g. bush-camp safari, high-altitude trekking) assumes good physical fitness and no medical contraindications. When booking, please let us know briefly about your health and fitness level — we'll adapt the programme or suggest an alternative.

Logistics & Documents

Visas, passports, vaccinations and practical matters

Yes. For every expedition we provide detailed information on visa requirements, passport validity and any customs requirements. For countries that require a visa we help you compile the documents and explain the procedure. We don't apply for visas on your behalf (the traveller must do this personally), but we guide you step by step through the process.
For every destination we prepare an up-to-date list of recommended and required vaccinations. For trips to Sub-Saharan Africa and South-East Asia vaccinations are particularly important — malaria prophylaxis, yellow fever, typhoid and other tropical diseases. We recommend consulting a travel medicine clinic at least 6–8 weeks before departure.
Yes — every client who has booked receives a personalised information pack including: a packing list tailored to the climate and type of expedition, luggage weight guidance, cultural tips and local customs, useful phrases in the local language, and restaurant and off-the-beaten-path recommendations. We want you to feel prepared, not overwhelmed.
Always. Every client has a dedicated contact in Poland and access to a local coordinator at the destination. In emergencies we operate 24/7. Whether it's a changed flight, a health issue, lost luggage or a change of plan — we're there. This is one of the reasons our clients keep coming back for more trips.

After the trip

Reviews, complaints and planning your next adventure

You can submit a written complaint to info@land4travel.com within 30 days of returning. Please describe the situation, include dates and any supporting documents (photos, receipts). We respond within 14 business days. We take every piece of feedback seriously — continuous improvement is important to us.
We really appreciate that! After you return we send a short satisfaction survey. You can also leave a review on Google or TripAdvisor — honest reviews help us grow and help other travellers decide. The best stories and photos (with client permission) are published on our Instagram.
